Privacy Policy

This Privacy Policy describes how AutomationFire (“AutomationFire,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you use the AutomationFire platform, including the website at automationfire.com, the customer dashboard at app.automationfire.com, our mobile applications, our public APIs, and any related services (collectively, the “Service”).
AutomationFire is a Business Operating System for local service companies. It consolidates voice AI receptionist, reputation management, local SEO, website generation, content automation, booking, and CRM into one platform. By using the Service, you agree to the collection and use of information described here. If you don’t agree, please don’t use the Service.
1. Who we are
AutomationFire is operated by Blue Taurus Marketing LLC, with registered correspondence at the address listed in section 13 (Contact). For privacy questions or requests, contact us at privacy@automationfire.com.
2. Information we collect
We collect the following categories of information:
2.1 Account information
When you create an account, we collect your name, email address, business name, business address, business phone number, and authentication credentials. Passwords are hashed and never visible to us.
2.2 Business information you provide
The Service requires information about your business to function: legal name, service offerings, service areas, business hours, employee names, pricing, payment methods accepted, certifications, photos, logos, and similar operational data. You control what you submit.
2.3 Customer interaction data
When the Service handles interactions with your customers on your behalf, we process information about those customers. This may include phone numbers, email addresses, names, message content, voice recordings, voice transcripts, booking details, review content, and metadata such as call duration and timestamps. You are the data controller for your customers’ information; AutomationFire acts as a data processor.
2.4 Data accessed via Google API Services
With your explicit OAuth consent, the Service accesses certain Google APIs to deliver features you have enabled. Specifically:
- Google Business Profile API — to read your Google Business Profile listings, post updates, manage media, sync hours and services, and respond to reviews on your behalf.
- Google Search Console API — to read search performance data, indexing status, and crawl errors for your verified properties.
- Google Calendar API — (Voice Pro tier only) to read your availability and create appointments booked through the Voice Engine, when you have connected a calendar.
- Google Sign-In (OpenID Connect) — to authenticate users with their Google account; we receive your name, email address, and profile picture.
Use of Google user data is restricted by the Limited Use Requirementsdescribed in section 5. AutomationFire uses Google user data only to provide and improve the user-facing features you have enabled, and never for advertising, never for human reading (except as expressly permitted), and never to develop, improve, or train generalized AI/ML models.
2.5 Voice and call data
When the Voice Engine is enabled, calls placed to your business number may be recorded, transcribed, and analyzed for the purpose of answering customers, booking appointments, capturing leads, and improving your operational dashboards. Call recordings and transcripts are stored on infrastructure operated by AutomationFire and our voice and AI subprocessors. You are responsible for posting any call-recording disclosures required by your jurisdiction and for configuring the Voice Engine’s greeting accordingly.
2.6 SMS data
When the SMS feature is enabled, message content sent to and from your business number is processed by our telephony subprocessor and stored by AutomationFire so you can review conversations from the dashboard. We do not sell or share message content with advertisers or third-party data brokers.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
When you submit a phone number through a form on our website (such as a booking, contact, or quote request) and check the optional consent box, you opt in to receive SMS messages from AutomationFire about your inquiry, appointment, account, or service. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe at any time, or HELP for help. Your consent is not a condition of any purchase. Carrier is not liable for delayed or undelivered messages.
2.7 Review data
The Reputation Engine syncs review data from third-party platforms (Google, Yelp, Facebook, TrustPilot, others) via our review aggregation subprocessor. We store review content, ratings, reviewer display names, timestamps, and platform metadata to display them in your dashboard, draft responses, and trigger alerts.
2.8 Payment information
Payment information is processed by a PCI-compliant third-party payment processor. AutomationFire does not store your full card number, expiration, or CVV. We retain a customer ID, subscription IDs, payment status, invoice history, and the last four digits of the payment method to display in the billing dashboard.
2.9 Usage and device data
We automatically collect IP addresses, browser type, operating system, referring URLs, page views, click events, and similar telemetry. We use a third-party analytics service for aggregate site analytics, which may set cookies in your browser. The current named analytics provider is disclosed in the subprocessor list available on request, and you can opt out via your browser’s privacy controls.
3. How we use information
- To provide, operate, and maintain the Service
- To authenticate users and secure accounts
- To answer phone calls, send SMS, post reviews, generate websites, and perform the automated tasks you have configured
- To process payments and manage subscriptions
- To respond to your support requests
- To send transactional emails (booking confirmations, receipts, alerts)
- To send product announcements and marketing emails (you can unsubscribe at any time)
- To detect, prevent, and address fraud, security incidents, and abuse of the Service
- To comply with legal obligations
We do not sell personal information. We do not use Google user data, voice transcripts, or customer message content for advertising. We do not train generalized AI/ML models on Google user data or on customer interaction data accessed under restricted scopes.
4. How we share information
We share data only as needed to operate the Service and only with subprocessors bound by written agreements that include confidentiality and security obligations. Categories of subprocessors include:
- Hosting and infrastructure subprocessors for application hosting, voice and SIP infrastructure, and database, authentication, and storage.
- Voice and AI subprocessors for real-time media, speech-to-text, large language models, and text-to-speech.
- Telephony and messaging subprocessor for PSTN, SMS, and 10DLC carrier registration.
- Payment processor subprocessor.
- Email delivery subprocessor for transactional and marketing email.
- Review aggregation subprocessor.
- Social scheduling subprocessor.
- SEO data subprocessor for ranking and SERP data.
- Analytics subprocessor.
The current named subprocessor list — including each provider’s name, location, and processing purpose — is available on request from privacy@automationfire.com and is provided as part of our standard data processing agreement.
We may also disclose information when required by law, in response to valid legal process, to protect the rights and safety of users or the public, or in connection with a corporate transaction (merger, acquisition, sale of assets) where the successor agrees to honor this Privacy Policy.
5. Google API Services User Data — Limited Use
AutomationFire’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, AutomationFire:
- Uses Google user data only to provide or improve user-facing features that are prominent in the Service’s user interface.
- Does not transfer Google user data to third parties except as necessary to provide or improve user-facing features, comply with applicable law, or as part of a merger, acquisition, or sale with notice to users.
- Does not use or transfer Google user data for serving advertisements, including retargeting, personalized, or interest-based advertising.
- Does not allow humans to read Google user data unless we have obtained your affirmative agreement to view specific messages, doing so is necessary for security purposes (such as investigating abuse), to comply with applicable law, or for internal operations where the data has been aggregated and anonymized.
- Does not use Google user data to develop, improve, or train generalized AI and/or ML models.
You may revoke our access to your Google account data at any time by visiting your Google Account’s third-party access settings. Revoking access stops future data collection from your Google account; data previously synced to AutomationFire is governed by the retention rules in section 7.
6. Cookies and similar technologies
We use cookies, local storage, and similar technologies to keep you signed in, remember preferences, secure the Service, and measure aggregate usage. You can configure your browser to reject cookies, but the Service may not function correctly without them. We do not use cookies for cross-site advertising or targeted advertising.
7. Data retention
We retain account data, business information, and configuration data for as long as your account is active. After cancellation, we retain account data for up to ninety (90) days as a grace window for reactivation, then delete or anonymize it unless retention is required by law or for legitimate business purposes (such as fraud prevention or tax records).
Voice call recordings and transcripts are retained for the period configured for your tier (default: ninety (90) days; longer with the Voice Growth and Voice Pro tiers). SMS messages are retained for up to twelve (12) months. Reviews synced from third-party platforms reflect the platforms’ current state and are re-fetched on a rolling basis. Aggregated and anonymized analytics data may be retained indefinitely.
8. Your rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete your account and the personal data associated with it
- Export your data in a portable format
- Object to or restrict certain processing
- Withdraw consent where processing is based on consent
- Lodge a complaint with a supervisory authority
To exercise any of these rights, email privacy@automationfire.com. We will respond within thirty (30) days.
9. Security
We use industry-standard administrative, technical, and physical safeguards to protect personal information, including TLS in transit, authenticated symmetric encryption at rest for sensitive fields, Row-Level Security on every database table, scoped API keys, and continuous monitoring. No system is impenetrable; if we become aware of a breach affecting your information, we will notify you and any required regulators in accordance with applicable law.
10. International data transfers
AutomationFire is operated from the United States. By using the Service, you acknowledge that your information may be transferred to, processed in, and stored in the United States and other countries where our subprocessors operate, which may have data-protection laws different from your jurisdiction. Where required, we implement appropriate safeguards (such as Standard Contractual Clauses).
11. Children
The Service is not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Service or by email before the changes take effect. Continued use of the Service after changes take effect constitutes your acceptance of the revised Policy. The “Last updated” date at the top indicates when the Policy was most recently revised.
